What is Group Workcamps Foundation responsible for?


At Group Workcamps Foundation, we understand that our staff and participants are guests in your facilities. We want to be the kind of guests you would be happy to invite back, so we agree to take responsibility for the following:

Proper Supervision

Group Workcamps Foundation will provide professional staff during the Workcamp. In addition, we require youth groups to bring one adult leader for every five young people. These adults know the teenagers they bring and can effectively supervise behavior throughout the week. Adults provide overnight supervision.

Rules of Conduct
Group Workcamps Foundation will respect and observe your facility's rules and policies. We also insist on the following: Smoking is not permitted in buildings at any time. Possession of alcohol, non-prescription drugs, or fireworks is forbidden. Males and females will sleep in separate sections of the building, when possible, and participants are expected to respect the privacy of others. All participants sign a "Code of Conduct" contract.

Facility Use and Security
Group Workcamps Foundation will use only the areas that you designate. We will allow only registered participants and guests to be part of the Workcamp activities. Uninvited visitors will be asked to leave. Staff members will check the security of the buildings each night. Group Workcamps Foundation will arrange for additional security based on your recommendations.

Damages
Before and immediately after the Workcamp, a Group Workcamps Foundation staff member will inspect the facility with a representative and complete a walk-through checklist. If any damage should occur to your facility or its contents as a result of the Workcamp, the person(s) responsible, together with Group Workcamps Foundation, agree to reimburse you for the cost of repair or replacement.

Insurance
Group Workcamps Foundation will provide the facility with liability insurance coverage for personal injury and property damage caused by Workcamp participants or staff.

Financial Concerns
Group Workcamps Foundation will work closely with your representatives to make necessary financial arrangements. The cost of using a facility varies. Most facilities waive certain costs as a way of supporting the project. However, we do not want to be a financial burden to your facility and will reimburse you for all agreed-upon costs, including:

• Food service labor cost (agreed upon in advance)
• Custodial labor cost (agreed upon in advance)
• Supplies (such as cleaning items, bathroom tissue, etc.)
• Utility costs directly related to our use of the facility
• In cases where the facility is not a school, we will draw a specific contract of use that covers our needs and complies with your requirements.  Food contracts will be negotiated in these cases as well

Method of Payment
Group Workcamps Foundation pays all salaries through the regular payment procedures of the school district or lodging facility rather than paying for these services directly. We will send payment for all services and supplies within 30 days of receiving copies of time sheets and invoices detailing the expenses. Other billing arrangements can be made by mutual agreement between Group Workcamps Foundation and the facility. In cases where the facility is not a school, specifics of payment are covered in the facility contract. 

Food Service
Group Workcamps Foundation staff will work with food service staff to ensure that excellent food is served during the Workcamp. Detailed information will be provided to your Food Service Manager or Head Cook before the Workcamp. Menu planning is a cooperative effort.
